What is the project?
St Peter's Hospice is working with an independent organisation called Healthia to gather feedback about people's experiences of our services.
This Privacy Notice explains how your personal information will be collected, used, stored and protected if you choose to take part in this project.
Why Are We Collecting This Information?
We want to understand the experiences of patients, families and carers who have been supported by St Peter's Hospice.
By listening to people's experiences, we can learn what is working well and identify where improvements can be made to our services.
Our roles under data protection law
St Peter’s Hospice is the data controller for this project. We determine the purpose and means of the data processing, including deciding to conduct the evaluation and how the results are used.
Healthia work alongside us as our data processor, processing personal data on our documented instructions to arrange and conduct interviews, record and transcribe conversations, analyse feedback and produce reports for us. Healthia will not use your data for its own purposes.
What Information Will We Collect?
If you choose to take part, we may collect:
Contact details: name, email address, telephone number
Participation information: accessibility or communication requirements, scheduling details, interview notes and feedback shared during the interview
Recordings (optional): audio and/or video recordings and transcripts, where you give consent
How Will We Use Your Information?
We use the information you provide to:
Arrange and conduct your interview
Understand your experiences and feedback
Identify themes and learning from conversations
Produce findings and recommendations for St Peter's Hospice
Help improve future services and support
Use of AI tools: Healthia may use trusted AI assisted tools to transcribe recordings, organise themes, and support analysis. These tools operate under our instructions with appropriate safeguards, such as data minimisation, encryption in transit and at rest, access controls, and contractual restrictions that prohibit using your information to train third party models.
Your information will only be used for purposes connected with this project.
Who Will Have Access to Your Information?

Healthia is carrying out this work on behalf of St Peter's Hospice and will securely store interview information for the purposes of this project.
How Will Findings Be Shared?
Healthia will prepare a report for St Peter's Hospice. Reports will focus on themes, experiences and recommendations rather than individual people. Anonymous quotations may be included to help illustrate findings. Your name and personal details will not be included in reports.
How Will Your Information Be Protected?
We take appropriate measures to keep your information secure.
This includes:
Secure electronic storage and encryption
Access restricted to authorised individuals
Secure handling of recordings and notes
Secure deletion of recordings and notes when information is no longer required
How Long Will We Keep Your Information?
Data that you supply in the registration process will be retained until we have finalised recruiting participants and will then be deleted, unless you agree to take part in future research. In that case, your contact details will be stored securely by St Peter's Hospice for a further period of three years. Within that time we may approach you again for your support. After that time, your data will be deleted.
Any recordings or transcripts from your participation will be retained for six months after the project, which is due to finish in October 2026, and then securely deleted.
We will keep records of your consent to participate for six years as we are legally required to for audit and accountability purposes. After this time, information will be securely deleted.
Overall project reports will be retained by St Peter’s Hospice in anonymised form.

Withdraw your consent at any time
Request deletion of your information where applicable
Object to or restrict certain data processing
Raise concerns about how your information has been handled
Please note that once feedback has been anonymised and included in overall findings, it may not be possible to identify and remove it.
Withdrawing Your Consent
You may withdraw your consent at any time. If you withdraw before information has been anonymised and analysed, we will remove your information from the project. If your feedback has already been anonymised and incorporated into our analysis, we will make reasonable efforts to remove it but that may not always be possible.
